Privacy Policy
How CareQ handles the information needed to run a queue — and what it deliberately does not collect.
Privacy Policy
Last updated: 16 September 2026
1. Overview
This privacy policy describes how CareQ handles information when hospitals and clinics use the queue management platform. CareQ is designed to minimise the data it processes; it manages tickets and queues, not medical records.
2. Information we collect
CareQ collects only the data necessary to manage queues and send notifications.
- —Ticket data: ticket number, department, queue position, timestamps for check-in, service, and completion.
- —Contact details: phone number or email address provided at check-in, used solely for queue notifications.
- —Queue events: wait-time estimates, service rates, re-queue events, and abandonment records.
- —Staff actions: which staff member called, reassigned or restored a position, linked through single sign-on.
- —Device and browser data: session tokens and basic browser information for the patient-facing link; no persistent cookies or tracking.
3. How we use the information
We use queue data to produce real-time estimates, drive display boards, send notifications and generate operational analytics for the hospital. Contact details are used only to deliver queue updates — approach alerts, turn notifications and missed-call follow-ups. We do not use this data for marketing or profiling.
4. Sharing and subprocessors
CareQ does not sell personal data. Information is shared only with subprocessors necessary to operate the service:
- —SMS gateway providers — to deliver queue-position text messages.
- —WhatsApp Business — to deliver queue updates via WhatsApp.
- —Email providers — to send correspondence related to demo requests and support.
- —Cloud hosting providers — to run the CareQ platform in your chosen deployment environment.
5. Cookies
CareQ uses only the session tokens necessary for the service to function. No advertising or analytics cookies are set. The patient-facing ticket link works in any browser without requiring cookie consent.
6. Data retention
Ticket and queue event data is retained for as long as your organisation maintains an active deployment. Operational analytics derived from queue data may be retained in aggregate. Contact details used for notifications are deleted when a ticket expires or is completed. Upon contract termination, all customer data is deleted within 90 days, unless export has been requested.
7. Your rights
Depending on your jurisdiction, you may have the right to access, correct, port or delete personal data processed through CareQ. Requests can be made by contacting the hospital's CareQ administrator, or by reaching out to privacy@carequeues.in directly.
8. Contact
For privacy-related questions or requests, contact privacy@carequeues.in.
